Payroll Administrator

Our client is an established producer, packer and exporter of citrus and table grapes with production units and pack houses in the Western Cape.

We have a new vacancy for a Payroll Administrator to join the team. This office-based position will report to the senior accountant and is based at our head office in Bellville.

Responsibilities:

This position is responsible for managing and processing payroll through Sage. administering leave using the Employee Self-Service (ESS) system. and ensuring compliance with statutory reporting requirements. including UIF, SDL, and WCA. The role also includes time sheet reconciliations. ensuring accurate and timely payroll processing. The key responsibilities are:

  • Payroll Processing: Accurately process the payroll for four entities with salary employees using Sage. Ensure all payroll data is up to date including earnings, deductions and benefits. Handle payroll adjustments and other salary-related transactions.
  • Leave Management via ESS: Administer employee leave requests through the ESS system. Track and update leave balances. Ensure accuracy in the ESS platform. Provide support and guidance to employees using the ESS system for leave requests.
  • Statutory Reporting: Prepare and submit statutory reports for PAYE, IMF, SDL, and WCA. Ensure all statutory payments and filings are completed on time. Stay updated on changes in legislation affecting statutory reporting and payroll compliance.
  • Timesheet Reconciliations: Collect, review, and reconcile employee timesheets against payroll records. Ensure accurate recording of hours worked, overtime, and leave taken.
  • Compliance and Audits: Maintain compliance with company policies. labour laws. and payroll regulations. Assist with internal and external audits related to payroll and leave administration.
  • Employee Support and Communication: Address employee inquiries related to payroll, leave balances. and statutory deductions. Provide clear communication regarding payroll timelines. changes. and updates.
  • System Maintenance: Ensure that the Sage and ESS systems are up-to-date and functioning correctly.
  • Any other ad hoc function in the finance and HR department such as loading payments, pension fund administration, medical aid administration, reporting etc.

Requirements:

  • Grade 12
  • Minimum of 5 years working experience in a similar position
  • Relevant Certificate/Diploma in Bookkeeping /Accounting will be advantageous
  • VIP Sage Payroll professional (Cloud)
  • Microsoft Office
