Personal Assistant to CEO

Our client is a key player in the sorting, packaging and marketing of pome fruits. They are seeking a professional and trustworthy Personal Assistant who will primarily support the CEO.

The ideal candidate will be reliable, task-focused, mature and diplomatic, with the ability to prioritise in a timely manner whilst keeping open communication. This position is based in Grabouw.

The role will include but are not limited to the following responsibilities:

  • Diary management
  • Compiling, proofreading & editing quarterly reports for the company Directors, arranging lunch & doing meeting set up for board meetings
  • Preparation of agendas, taking minutes and actioning items for follow-up
  • Format information for internal and external communication (emails, presentations, reports, circulation letters)
  • Managing telephone calls, using initiative to identify alternative contacts where required
  • Act as the point of contact among employees, shareholders, producers and clients
  • Responsible for the company’s website, social media and promoting the company’s brand
  • Organising and coordinating staff events
  • Coordinating travel/accommodation arrangements, liaising with our travel agency and developing detailed itineraries, and business visas (for CEO & Managers)
  • Running errands for the CEO, in addition to weekly tasks needed
  • Maintain an organised filing system of paper and electronic documents
  • Supporting the office with ad-hoc duties (general admin: filing emails, expense processing, purchase orders)

Requirements:

  • At least 3-5 years’ work experience as a Personal Assistant, or similar role
  • Tertiary qualification in relevant field (e.g. Diploma in Office Administration or similar)
  • A great understanding of the Agriculture-language/culture is preferred
  • The ability to perform tasks with a high level of accuracy (e.g. proofreading & editing)
  • Strong attention to detail & excellent language skills
  • Excellent verbal and written communications skills (Fluent in Afrikaans & English)
  • Experience with business visas
  • Adaptable and resilient with the ability to work under pressure while maintaining a high standard of work
  • Energetic and willing to take initiative
  • Discretion and confidentiality
  • Team player – the ability to engage with the team and to provide support/flexibility
  • Computer literate (MS Office (Word/Excel/PowerPoint)
  • Knowledge of Google GSuite (Gmail/Google Meet/Docs/Sheets etc.)
  • Outstanding organisational and time management skills
  • Experience working with branding & print companies will be advantageous
  • Familiarity with office equipment and applications (e.g. e-calendars and copy machines)
  • Graphic design experience will be beneficial
  • A valid driver’s license
